Adopted Spring 2024
The UESC Guidelines define the actions that the Council as an advisory body should take.
Charge for UE Staff Council
The Staff Council is an advisory body that can support and inspire staff within the UE Division, including identifying and collaborating on issues experienced by staff within the Division and creating shared initiatives to develop community. The council should be representative of staff throughout the Division and have the ability to create its own agenda. The council is advisory to the VPUE.
Gather/Survey
The Council will, as needed, gather information from UE Staff and other stakeholders relevant to our task. This gathering effort may come in the form of surveys, polls, or other response methods.
Membership
The Council will consist of (approximately) six elected staff members and one ex-officio member from within OVPUE Human Resources. Directors or members of the Executive Leadership Group are ineligible to be nominated. If a member is promoted to this level during their staff council tenure, this does not necessarily institute removal of that member. At this point, it will be up to the council how that person’s term is handled.
Every year, a vote will happen each August to fill vacant Council seats. The first meeting of the Staff Council will be held in September. Ideally, no member should serve on the Council for more than 2 consecutive terms. Each year, ideally 2-3 new members will join. The Council will ideally consist of approximately 6 members.
Communication
The Council will periodically and/or at the request of the Vice Provost for Undergraduate Education, provide reports on issues relevant to the UE Staff and the VP’s office. These reports, in their finalized form, will be available to both UE Staff and VP Staff through the monthly newsletter or email.
Manage
The Council will set guidelines and procedures to manage its own internal operations and its own continuation through an organized and simple election process. Other actions taken by the Council that fall under the task of Management include: setting durations of service such that membership is appropriately staggered; holding semi-monthly meetings; meeting semi-monthly with the Vice Provost; posting meeting minutes (or summary reports?) for VP and UE Staff review.
Receive
The Council will receive requests from the Vice Provost. The council may also, through the various information gathering processes, discern a directive for action or inquiry from the UE Staff members.
